The Challenge
Each site kept its own stock book and raised purchases by phone.
- Head office saw a project's material cost only when bills reached accounts, often weeks after the material was used.
- Transfers between sites were recorded as fresh purchases, inflating one project and understating another.
- Nobody trusted the monthly cost report.
The Solution: BricX ERP
Procurement and inventory went live across all eight sites first, then projects and accounting a month later:
- Site requisitions are raised from a phone and approved by the project manager before any order is placed.
- Every receipt, issue and inter-site transfer is posted against the right project and BOQ line.
- Purchase bills are matched to orders and receipts, then posted to the ledger without re-entry.
Results
- Committed cost per project is visible the day an order is approved.
- Surplus material at one site is transferred, not bought again elsewhere.
- Month-end close is down from twelve working days to three.
